
Tradeshow Events Coordinator
The Events Coordinator will cover tradeshow and event related administrative and logistical activities, before, during and after Tradeshow and Events. The Tradeshow Coordinator will prepare shows and events, support during set-up and teardown and the organization of the related documentation. The Events Coordinator will report to the Tradeshow Manager.
Key Responsibilities:
Preparation of tradeshows:
-Create AutoCAD booth drawings
- Order services from show venues and keep in close contact with the organizer
-Make travel arrangements for attending crew
- Create a shipping list based on what’s needed for the show
- Prepare internal documents for the attending crew and supporting documents which will be used during the show
- Order the required signage and maintain contact with the printer
- Maintain contact with the forwarder about the logistics
- Coordinate post-show feedback and create a post-show report
- Create cost reviews
In addition, preparation of events:
- Venue sourcing: search for hotels where we can have an event
- Negotiate contracts and prepare the necessary documentation
- Maintain the contact with the venue to finalize all details about the catering, final number of attendees and other event related questions
During tradeshows & events
-Travel to shows/events
- Bring in all equipment with the forwarder
- Execution of the set-up/teardown of the show stand
- During a tradeshow, support might be given to the sales crew by welcoming customers on the booth
- Key contact person for the hotel at events. Organize the catering and make sure that everything is ready in time
- After teardown, packing and loading of the equipment with the forwarder
- Besides these dedicated tasks the Tradeshow Coordinator will support the Tradeshow Manager in preparing various other tradeshow and event related tasks.
Essential Skills:
- Good verbal and written communication skills (English mandatory)
- Good Coordination skills
- A team player with a hands-on mentality
- Ability to operate self-directed and proactive on given tasks
- Good level of accuracy and detail-oriented
- Computer skills (Microsoft Office, AutoCAD must)
Additional Requirements:
- Preferred Working times from 9:00 – 17:30 hrs
- Open to travel and extra hours and weekends during Tradeshows
- This position requires travel within the EMEA region
- Car driving license
- Experience in Tradeshow planning and logistics is a pre
